Reefer Breakdown Risk: Protecting Temperature-Controlled Freight

Temperature-controlled freight can turn a mechanical problem into a major cargo claim. A reefer unit failure, fuel issue, incorrect set point, delayed response, or incomplete documentation can threaten an entire load. Carriers need an operating plan and an insurance conversation before the emergency happens.

Prevention Starts Before Pickup

Confirm the commodity, required temperature range, continuous or start-stop settings, pre-cooling instructions, and loading requirements. Inspect the reefer unit and record the condition of the trailer. Make sure the driver knows who to contact and what information to capture if the temperature changes.

The rate confirmation, bill of lading, shipper instructions, and equipment records should tell the same story. If instructions conflict, resolve the issue before loading whenever possible.

Respond Quickly and Document Everything

When a problem occurs, notify the appropriate parties, follow emergency procedures, and document times, temperatures, alarms, repairs, and communications. Photos, unit readouts, service invoices, and written instructions can become important evidence during a claim review.

Do not assume that every cargo policy responds the same way. Coverage can depend on policy language, exclusions, deductibles, commodities, equipment requirements, and the cause of loss. A licensed insurance professional should review the carrier’s actual operation.
